Data Handling
This page explains, in plain language, what information Fort AI Systems may handle in its services, why, who may process it, and what rights you have. It is a working draft and not legal advice.

Our current services and your customers' data
Fort AI Systems' current services are a free Lead Flow Snapshot, the Lead Recovery Launch ($350 — which includes the full Lead Flow Audit, setup of one approved capture workflow, guided activation, and your first 60 days), and optional Website Lead-Flow Fixes (from $900). The customer-data boundary is simple: your customers' inquiries route to your own phone, email, form, lead log, or tool — the capture workflow in a Launch is set up on accounts you own, and Fort AI Systems does not take custody of your customers' data. The Snapshot, the audit work, and website fixes collect no customer data at all. Any review of captured leads during your first 60 days is limited, manual, and support-scoped. Managed Recovery, if continued after launch, operates under the same boundaries.
What information may be collected
For the current services, the information we handle is limited to what a client business shares with us to do the work. This typically includes:
- Business name and contact details
- The business's website address
- What the client tells us about how inquiries reach them today
- Website access credentials, only if the client chooses to provide them for a scoped fix
The website itself may collect basic usage data through Vercel Analytics (see the Third-party tools section below). No sensitive personal information — such as health, financial, or government-ID data — is requested or intentionally collected.
Why it is used
Information a client shares is used only to deliver the agreed service — to look at where their website may be losing inquiries, write the audit report, or make the scoped fixes. Fort AI Systems uses that information for nothing else.
We do not use client or customer data to train AI models, sell to third parties, or use for any purpose beyond providing the agreed service.
Third-party tools and processors
Delivering our services relies on a small set of third-party platforms. The platforms currently in use are:
- Google— We use Google services for business email and for preparing and sharing written deliverables such as Snapshot notes and Audit reports. Google's privacy practices apply to data within their systems.
- Vercel— This website is hosted on Vercel. Vercel Web Analytics may collect aggregate, anonymous usage information about site visits. Vercel's privacy practices apply to data processed through their hosting service.
If a future service uses additional tools, those tools and their relevant data-handling practices will be described here before they are used with a client.
Data retention
Because your customers' inquiries route to your own phone, email, form, or tool, Fort AI Systems does not hold customer inquiry data for the current services. Written deliverables (like an Audit report) are kept as part of the engagement record.
Basic business contact information (such as email threads with potential clients) is kept only as long as reasonably needed for the purposes of business correspondence and accounting.
Access and deletion requests
If you would like to know what personal information Fort AI Systems holds about you, request a correction, or request that it be deleted, email us at sales@fortaisystems.com. We will do our best to respond promptly and honour the request where reasonably possible, subject to any legal or operational limits.
If you contacted a business through its own website or phone, your information is held by that business — you may need to contact them directly to have it removed from their records.
Basic safeguards
We apply practical measures to protect the information we handle, including limiting access to accounts and using standard account security practices. Any website credentials a client shares for a scoped fix are used only for that work.
No method of transmitting or storing information is perfectly secure. We cannot guarantee that data will never be accessed, disclosed, or lost without authorisation. We notify clients promptly if we become aware of any incident affecting their data.
