What this policy covers
This policy explains how Fort AI Systems (operated by Mason Morley, based in Fort McMurray, Alberta) handles personal information when a business contacts us, when we deliver our services, and when someone visits fortaisystems.com.
Our current services are a free Lead Flow Snapshot, the Lead Recovery Launch ($350 CAD, one-time — which includes the full Lead Flow Audit), and optional Website Lead-Flow Fixes from $900 CAD. All of them are business-to-business services.
By contacting us or sharing information with us for an engagement, you consent to us collecting and using that information for the purposes described in this policy. You can withdraw consent or ask us to stop using your information at any time using the contact details below, subject to any legal or operational limits.
We don't take custody of your customers' data
Our services are built around tools the client business already owns. Customer inquiries continue to route to the client's own phone, email, forms, and tools — not to Fort AI Systems. When a capture workflow is set up through the Lead Recovery Launch, it runs on client-owned tools, and the client business remains the owner of the lead information it collects.
What information we collect
We collect only the information reasonably needed to respond to inquiries and provide our services. This typically means:
- Business contact details — your name, business name, email address, phone number, and the details of your inquiry.
- Information you choose to share with us for the work — for example, how your calls and inquiries are handled today, or access to marketing materials you want reviewed.
- For a scoped Website Lead-Flow Fix, and only where you provide them: website credentials needed to do the agreed work. These are used only for that work.
We do not intentionally collect sensitive personal information (such as health, financial, or government-ID information). Our services are not designed for sensitive data and should not be used to submit it.
How we use information, and limits we apply
We use the information we collect to respond to inquiries, deliver the services described above, and improve how we work. We apply the following limits:
- We collect only the minimum business and contact information needed to deliver the service.
- We do not use client or customer data to train custom AI models unless this is separately agreed in writing.
- We do not record or transcribe phone calls unless this is separately approved in writing and this policy is updated first.
- We do not sell, rent, or trade personal information.
Third-party platforms and analytics
We rely on third-party platforms to operate, which may process personal information. These currently include Google (email and documents) and Vercel (website hosting). Each platform operates under its own privacy practices. Any new tools that handle personal information will be added here before they are used.
We may use basic website analytics, including Vercel Analytics, to understand general site usage and improve the website. Vercel Web Analytics is designed to provide aggregate usage information without third-party cookies. These analytics are not used to sell personal information.
Security
We apply practical safeguards such as limiting access and using account security measures on the accounts that touch data. However, no method of transmitting or storing information is perfectly secure, and we cannot promise absolute security.
Data retention
We keep engagement records and correspondence only as long as reasonably needed for the purpose they were collected, or as required for legitimate business and accounting reasons. If you would like your information removed, contact us and we will honour the request where reasonably possible, subject to any legal or operational limits.
Your choices
You may ask what personal information we hold about you, request a correction, or request that it be deleted. We will do our best to respond promptly. To make a request, email sales@fortaisystems.com.
