What this policy covers
This policy explains how Fort AI Systems (operated by Mason Morley, based in Fort McMurray, Alberta) handles personal information when a business contacts us, when someone fills out an intake form we have set up for a client, and when someone visits fortaisystems.com.
By contacting us or submitting information through one of our forms, you consent to us collecting and using that information for the purposes described in this policy. You can withdraw consent or ask us to stop using your information at any time using the contact details below, subject to any legal or operational limits.
What information we collect
We collect only the information reasonably needed to respond to inquiries and provide our services. Depending on how you interact with us, this may include your name, business name, email address, phone number, and the details of your inquiry or service request.
We do not intentionally collect sensitive personal information (such as health, financial, or government-ID information) during our early pilots. Our intake forms are not designed for sensitive data and should not be used to submit it.
How we use information, and limits we apply
We use the information we collect to respond to inquiries, organize lead summaries for our clients, and deliver and improve the services we provide. To keep risk low during our early pilot phase, we apply the following limits:
- We collect only the minimum business, contact, and intake information needed to deliver the service.
- We do not use client or customer data to train custom AI models unless this is separately agreed in writing.
- We do not record or transcribe phone calls unless this is separately approved in writing and this policy is updated first.
- We do not sell, rent, or trade personal information.
How information is stored and who can access it
For our current missed-call intake workflow, customer intake details are stored in a spreadsheet within the client's own Google account, which acts as the system of record. Access to personal information is limited to what is necessary to provide the service — typically the client business and Mason Morley during the pilot period.
We rely on third-party platforms to operate, which may process personal information. These currently include Google (forms, spreadsheets, and email) and Vercel (website hosting). Each platform operates under its own privacy practices. Any new tools that handle personal information will be added here before they are used.
We may use basic website analytics, including Vercel Analytics, to understand general site usage and improve the website. Vercel Web Analytics is designed to provide aggregate usage information without third-party cookies. These analytics are not used to sell personal information.
Security
We apply practical safeguards such as limiting access and using account security measures on the accounts that touch data. However, no method of transmitting or storing information is perfectly secure, and we cannot promise absolute security.
Data retention
We keep personal information only as long as reasonably needed for the purpose it was collected, or as required for legitimate business and accounting reasons. If you would like your information removed, contact us and we will honour the request where reasonably possible, subject to any legal or operational limits.
Your choices
